WPS’ customer was a large family medicine practice located in East Pierce County, Washington. This multi-site group experienced a recent management transition for their billing department and that presented an opportunity to examine their business office functions and identify efficiencies and opportunities for improvement.
Professional billing is one of the most important administrative functions in a medical practice: appropriate billing ensures adequate cash flow to meet the practice’s needs but doing it incorrectly can lead to all manner of compliance risk and unnecessary effort expenses to resolve avoidable denials. In short, the smooth functioning of a billing office is of paramount importance to the practice’s health.
Our Solution
WPS was engaged to audit the practice’s staff, processes and software and make recommendations for improvement. We were on site for a week, during which time we talked to nearly twenty billing team members to identify both what they thought their job was and what could be improved in their day-to-day work. We also took a deep dive into their written (and unwritten) policies and procedures, job descriptions, and training materials. And we dug into their billing system to identify areas of improvement in how they used the tools available to them.

Outcome
WPS concluded the engagement by presenting a 35-page report detailing our findings to the practice’s leadership team. We recommended numerous changes for them to consider, including better defining roles and responsibilities in the business office, more accurate maintenance of their billing application’s data tables, and adoption of a compliance plan.
All in all, the practice was very satisfied with the results of the audit and with WPS’ work.
